The Open Records staff will search for and provide your requested records based on the exact wording you put in your request, so it is important to be as specific as possible when you draft your records request. Here are some hints to help you word your requests:
Be specific on the time frame of the requested records; if you want a record from a specific date, give that specific time. If you want records over a period of time, include the date range for the records you request.
Make sure the wording of your request reflects the exact intent of your request and be aware of the impact that words such as "and" can have on the meaning of your request. For example, if you want to see copies of emails to or from Mayor TTT and two other city council members, if your request states you want to see "emails between Mayor TTT and Councilperson YYY and Councilperson ZZZ" you may only receive emails that involve all three individuals and not those emails between the Mayor and the other two councilpersons individually.
Be specific on the contents of the requested records. Our local government is busy, and if you provide broad, sweeping requests for records, you may end up with a LOT of records (most of which you might not find useful). Also, be aware that the more difficult and time-consuming it is for the government agency to search and provide a record, the greater the likelihood that they will charge you for the record. Government agencies are allowed to charge you for the costs associated with providing you with the requested records.

Make sure what you are requesting is actually a government record. The Government is required to provide you with all public records (unless exempted from release), but they are not required to generate new records in order to meet your request.
